SalesMeetAI is operated by an independent contractor based in Canada and built for Canadian Immigration Consultants (RCICs). This policy explains what data we collect, why, and what you can do about it. It is written to comply with Canada's PIPEDA (Personal Information Protection and Electronic Documents Act) and Québec's Law 25.
Who this applies to
This policy applies to two groups of people:
- RCICs and their staff who sign up for SalesMeetAI as a service.
- End users (your prospects and clients) whose WhatsApp messages flow through the AI assistant.
What we collect from RCICs
- Account info: name, firm name, email, WhatsApp number.
- Business details: services offered, pricing, working hours, tone-of-voice preferences. This is what we use to train your assistant.
- Integration credentials: WhatsApp Business API token, Google Calendar scope, optional CRM tokens. Stored encrypted, used only to operate your assistant.
- Payment info: processed by Stripe. We do not store your card number.
What we collect from your end users (your prospects)
When a prospect messages your WhatsApp number, the assistant processes their message to qualify and respond. The data flow is:
- The message and a generated reply are processed by an underlying language model under a no-training, no-retention agreement.
- A copy of the conversation, the prospect's WhatsApp number, and any details they share (name, country, education, IELTS, timeline) are logged to your Google Sheet or your CRM, not ours.
- We do not retain end-user data on SalesMeetAI servers beyond the time needed to process the conversation in real time.
End users are your clients, not ours
Under PIPEDA, the RCIC firm is the data controller for end-user data; SalesMeetAI is a data processor. Your privacy policy covers your prospects. We process their data on your behalf, on the terms you set.
Where data is stored
- RCIC account data: AWS Canada (ca-central-1) region.
- End-user lead data: in your own Google Sheets / CRM, in whatever region your account uses.
- Backups: encrypted, retained 30 days, stored in the same region.
Who we share data with
We use a small number of subprocessors, each under contract that requires equivalent protection:
- WhatsApp Cloud API (Meta) — to send and receive your messages.
- OpenAI / Anthropic — language model used to generate replies. Configured with no-training, no-retention.
- Google — Calendar, Sheets (your own account).
- Stripe — payment processing.
- AWS — hosting (Canada region).
We do not sell, rent, or share your data with anyone for marketing purposes. Ever.
Your rights
Under PIPEDA and Law 25 you have the right to:
- Request a copy of your data.
- Ask us to correct inaccurate data.
- Ask us to delete your data (subject to legitimate business retention).
- Withdraw consent for any processing not strictly required to provide the service.
To exercise any of these, email zeeshan@salesmeetai.ca. We respond within 30 days, usually within 5.
Retention
RCIC account data is retained while your subscription is active and for 90 days after cancellation, then deleted. You can request earlier deletion at any time. Tax-related records (invoices) are retained for 7 years as required by Canadian law.
Cookies
This website uses minimal cookies for analytics (page views, traffic source). No advertising trackers. You can block cookies in your browser without breaking the site.
Children
SalesMeetAI is not directed at children under 16 and does not knowingly collect their data.
Changes to this policy
If we change anything material, active subscribers get an email notice at least 30 days before the change. The "Last updated" date above always reflects the current version.
